Application and selection

The total number of course participants including speakers is limited to 100 to facilitate interactions between young scientists and invited speakers/senior scientists. The target audience is postdoctoral fellows and PhD students but  applications from senior scientists are also welcome.

Selection will be mostly on the basis of submitted abstracts, but representation of different topics at the event, career stages, geographical distribution and gender balance may also be taken into consideration.

How to apply

By the deadline of  15th of July:

1. Complete a registration order through the registration/abstract submission portal on this event website. When you complete an order you will receive an 'order received e-mail' with full instructions on how to proceed with your application and a copy of the order in PDF.

2. During this process, you might upload a single file (accepted formats are pdf, zip and rar) containing all supporting documents for your application: 

a. for postdocs and PhD students, the name and address of your lab head/supervisor
b. for PhD students, proof of your enrolement as a PhD student (e.g. letter of PhD supervisor or enrolement certificate)
c. for postdocs, PhD certificate showing that you are within 5 years of obtaining your PhD
d. for applicants for FEBS Youth Travel Fund awards, your Constituent Society membership proof, age, ID and proof of status as well as a summary of your reasons for applying to the event, your research interests (max 300 words), a letter of recommendation from your lab head/supervisor, and a concise CV (max 2 pages)

3. Submit your abstract via the 'My abstract' tab in the registration/abstract portal. An abstract submission is mandatory for consideration of a short oral presentation and for application for travel grants. See the Abstract section of the  website for more details.

Notification

You will be notifiied of the outcome of your application latest by 20th of July. Accepted applicants must then pay the relevant registration fee, as set out in the table below, by 1st of August. More details on registration fee payment will be included in your outcome notification, and key points are also given in the terms and conditions.

Registration fees

The registration fees  as set out in the registration fee table below includes access to the event sessions, name badge, certificate of attendance, and electronic book of abstracts. 

Upon acceptance by the Scientific Course Organizers, participants have to arrange payment of the registration fee via  Dubrovnik Sun d.o.o. travel agency who we have appointed to manage the payments. Detailed information will be profided in the outcome notification. Participants should note that the bank transmission fees have to be paid by the transmitter.

Accommodation

Accommodation from September 19th till September 23rd (4 nights; including full board) must be booked directly with Hotel Zora at a special conference rate through the Hotel's booking system. Accepted participants will receive a code that must be used during the reservation process to receive the special conference rate.

Accommodation in room with double occupancy:  360 Euro / person
Accommodation in room with single occupancy:    464 Euro / person

Note, that the number of single occupancy rooms is limited and your choice cannot be guaranteed. If you request accommodation in a room with double occupancy, you are welcome to name a person you want to share with.

Meals/refreshments included in the special conference accommodation rate are breakfasts, lunches and dinners at the hotel restaurant, refreshements at the venue, as well as the welcome reception and the conference dinner.

Travel costs are not covered.

Additional nights

If you want to stay extra nights before or after the conference: please inquire directly with the Hotel.

Terms and Conditions

By registering for the event, participants (also referred to as 'you') are entering an agreement with FEBS and the Scientific Organizers and you are indicating acceptance to the terms and conditions set out below. Payment of the registration fee is managed by Dubrovnik Sun d.o.o. travel agency (www.dubrovniksun.hr) and we refer with regard to the payment to the terms and conditions on the agency's website. Accommodation is booked directly with Hotel Zora and with regard to terms and conditions we refer to their website.

Registration Fee

The registration Fee for participants covers:

  • Access to all scientific programme sessions
  • Name badge and certificate of attendance

Travel and accommodation costs are not covered by the registration fee.

Methods of Payment

Payment fo the registration fee must be made via Dubrovnik Sun d.o.o. travel agency (www.dubrovniksun.hr); details will be included in your outcome notification email. 

Bank charges are the responsibility of the participant and should be paid at source. Your Name, Surname and Order ID must be indicated on the transaction receipt of the bank transfer.

Following the payment, receipt of the transaction must be sent via email to info@plantorganellarsignalling2021.febsevents.org. Proof of payment must be received before the stated deadline

A notification will be sent to you confirming successful payment and your registration as participant in the system. If you do not receive confirmation within 10 business days after sending your proof of payment / receipt of transaction, please contact info@plantorganellarsignalling2021.febsevents.org

Accommodation has to be booked directly with Hotel Zora. Participants will receive a special code to be used during booking.

Registration cancellation & refund policy

With regard to the registration fee, please refer to the detailed cancellation policy of Dubrovnik Sun d.o.o. travel agency that is given on the registration website for the conference. All registration cancellation requests should be sent to Dubrovnik Sun d.o.o. travel agency as well as info@plantorganellarsignalling2021.febsevents.org in writing.
In case of the organiser's cancellation of the event due to a bad epidemiological situation: registration fee won't be charged.
In case of the participant cancellation of the registration till 31 August 2021: reserved registration fee won't be charged, except 40 eur/300 kn of handling fee.
In case of the participant cancellation of the registration from 1 September 2021: 100% of reserved registration fee will be charged.

Travel insurance (Covid-19)

You must not attend the event if you are displaying symptoms of COVID-19 or are required to place yourself in quarantine. You should seek and follow the advice of your government before booking travel to the event and before travelling to the event. You are solely responsible for making your own appropriate travel and other insurance arrangements before booking travel. The Scientific Course Organizers and FEBS shall not be liable to you for any losses incurred as a result of travel restrictions being placed against you or against certain countries due to COVID-19.

Modification and cancellation of the event

The Scientific Course Organizers are intending to run the event as a physical meeting, but if they decide at any time that it is not possible to continue with a physical event due to pandemic or other such restrictions, the event may be postponed or held as an online meeting. The Scientific Course Organizers will give you as much advance notice as possible if such changes are necessary. They reserve the right to modify the Course programme, whether physical or online, which is published as an indication only.

The Scientific Course Organizers may cancel the event as a result of circumstances outside of their reasonable control, including (but not limited to) pandemic, natural disaster, adverse weather conditions, fire or closure of airports. The Scientific Course Organizers also reserve the right to cancel the event due to disruption caused by Covid-19. Where possible, they will endeavour to provide reasonable advance notice of any such cancellation. If postponement or a virtual event is not possible, and the event is cancelled, you will be refunded the registration fee less bank charges. 

Neither FEBS nor Dubrovnik Sun d.o.o. travel agency nor the Scientific Course Organizers shall be held liable for any other costs or losses incurred.

Disclaimer

The Scientific Course Organizers take all reasonable care in making arrangements, and shall follow all available guidance from the Croatian government in relation to making the event COVID-19 safe. They act only as agents in securing hotels, transport and travel services, and shall in no event be liable for acts or omissions in the event of injury, damage, loss, accident delay or irregularity of any kind whatsoever during arrangements organized through contractors. Hotel and transportation services are subject to the terms and conditions under which they are offered to the general public.

In the absence of any negligence or other breach of duty by the Course Organizers or FEBS, these parties shall not be responsible for any bodily injury, illness, death or property damages (including theft) sustained by participants during the event.

In any event, neither the Course Organizers nor FEBS accept liability for damages or costs in the event of bodily injury, death, property damage, illness, disruption to travel plans and costs incurred as a result of events outside of their reasonable control, including (but not limited to) pandemic, natural disaster, adverse weather conditions, fire or closure of airports.

Governing law

Any dispute resulting from the above terms and conditions will be subject to Croatian law, and by accepting these terms you are submitting yourself to the exclusive jurisdiction of the courts of Croatia.
